Position Description


Often, this position is the first point of contact for students. Under direction, employee performs routine instructional support and clerical duties by assisting with preparation of lesson-based activities; maintains and disseminates instructional materials, equipment, and documents; prepares materials for instructional exercises, workshops, demonstrations, and assignments; and maintains records and files. Assist with attendance system, assist in checking students in and out, monitor student activities, produce attendance reports, assist with intake and new-student orientation, and perform related duties as assigned.

Responsibilities


  • CORE RESPONSIBILITIES
    • Provides general clerical services and customer service such as answering phones; explains general and program information, and refers students to other services; compiles data; prepares lists, forms, requisitions, and/or work orders; assists with intake and orientation; conducts filing; duplicates materials; organizes reference materials; and prepares basic correspondence;
    • Records and registers attendance; produces and maintains attendance reports; maintains rosters and lists; posts announcements and informational items; assist with the maintenance of department/course records, archives and collections;
    • Orders, replenishes, and maintains inventory; arranges and prepares supplies and equipment to support learning and office operations;
    • Issues a variety of items which may include documents, supplies, instruments, and equipment to students; maintains records of items issued;
    • Answers students' general questions related to the learning environment and specific questions related to supportive role; assists students with mastering basic skills, lessons, and/or use of equipment;
    • Uses District technology to streamline department and student support as assigned;
    • Provides technical assistance to instructors;
    • Compiles, responds to and prepares instructional materials;
    • Locks and unlocks doors, as directed;
    • May assist in monitoring relevant budgets;
    • Trains and assists student workers in their supportive functions;
    • Promotes an environment of belonging as it relates to diversity, equity, inclusion, and accessibility;
    • Performs related duties as assigned.
  • PROGRAM-SPECIFIC RESPONSIBILITIES
    • Lab Environment: Maintains lab in a clean, safe, and orderly condition; assists faculty with organizing and maintaining stockroom, and preparing lab assignments; ensures that instruments and equipment areas are cleaned and repaired according to protocols; monitors students and learning environment to ensure appropriate safety precautions are used; may operate equipment as assigned; inspects and performs routine maintenance; schedules students and labs; may assign lockers and issue uniforms, aprons, and other clothing; type items as instructed; may assist with department's teaching and museum collections;
    • Learning/Classroom Environment: Assist with the setup of equipment and scenarios; may operate and/or demonstrate certain equipment to support learning environment; may administer, and score tests based on specific criteria provided by the course instructor; may monitor and maintain student testing accommodations; may assist in scheduling testing proctors, may assist in retrieval and delivery of tests; may make appointments.


Qualifications


MINIMUM QUALIFICATIONS
  • Any combination of education, training, and experience that provides the required knowledge, skills, and abilities to perform the assigned responsibilities. An example of this would be a high school diploma and one (1) year of recent, related experience.
  • Knowledge of:
    • Materials, tools, and equipment customarily used in the area assigned.
    • Generally accepted office practices, procedures, and equipment.
    • Computer applications including but not limited to Microsoft Word and Excel; data entry skills
  • Ability to:
    • Operate and maintain equipment customarily assigned to area assigned.
    • Provide technical assistance to instructor.
    • Effectively assist students in the proper and safe use of laboratory materials, supplies, and equipment; maintain orderly and safe conditions in the laboratory and stockroom
    • Provide effective assistance to students, faculty, and staff; respond appropriately to inquiries from the public.
    • Set priorities, organize workflow, and conduct a variety of duties with minimal supervision.
    • Communicate effectively and establish and maintain cooperative and collaborative working relationships with students, faculty, and others while performing assigned duties.
    • Identify challenges and propose solutions related to assigned functions.
    • Compose correspondence, keep accurate records, compile reports, and set up filing and recordkeeping systems.
  • Demonstrated evidence of sensitivity to, and understanding of, the diverse academic, socioeconomic, cultural, disability, gender identity, sexual orientation, and ethnic backgrounds in a community college environment.

DESIRABLE QUALIFICATIONS
  • Experience working with adult learners and one (1) year of experience working in an educational setting.

SPECIAL CONDITIONS
Working hours: Monday, Wednesday, Thursday, 2:30pm - 7pm; Tuesday, 3pm - 8:30pm. Hours may vary according to the assignment.

CONDITIONS OF EMPLOYMENT
This is a part-time, 12-month, classified bargaining unit position. Starting date: as soon as possible. Range 13 of the CSEA Salary Schedule, with a starting salary of Step A, $2,181 per month.
Being able and ready to work in-person with Chaffey students, Chaffey employees, or other members of the Chaffey community/Chaffey partners/Chaffey contractors is an essential function of this job.
