Associate Registrar, Systems, Data, & Technology

Summary:
The Associate Registrar for Systems, Data, and Technology serves as a key leader in the Office of the Registrar, with direct responsibility for systems operations, data reporting, and technology-based functions. Responsibilities include, but are not limited to, management of student information system applications and related technologies, planning and implementation of innovative technical solutions, working collaboratively with the Office of Information Technology (OIT) in the maintenance and enhancement of the system applications, writing functional reports, troubleshooting data problems, preparing and updating documentation, and collaborating with staff across various university offices to resolve data issues. The Associate Registrar serves as a member of the Registrar's Office team and supports events and initiatives as assigned.

Education/Experience:
Bachelors degree plus five years experience in an educational or professional setting working with student or client data information systems, or an equivalent combination of education and experience.

Knowledge/Skills/Ability:
  • Excellent technology skills with proficiency in student or client data information systems, such as Ellucian Colleague.
  • Ability to assess current operations and processes, identify problems and opportunities to improve, and propose and implement new technologies, strategies, and procedures to address those problems or potential improvements.
  • Excellent conceptual, analytic, and critical thinking skills with a thorough understanding of database and table structures, ability to gather data, compile information, and prepare reports.
  • Ability to manage and interpret large data sets, including demonstrated ability to handle data and information with careful attention to detail and accuracy.
  • Ability to communicate with vendors and assess and recommend platform management solutions.
  • Ability to develop, plan, and implement short- and long-range goals.
  • Exceptional interpersonal skills and the ability to communicate effectively, both orally and in writing.

  • Demonstrated ability to exercise sound judgment, tact, and discretion, and maintain integrity with handling sensitive and confidential information.
  • Proficiency in Microsoft Office 365 applications and learning management systems (Blackboard preferred).
  • Ability to work evenings and weekends as requested.

Physical Requirements:
Light work: Exerting up to 20 pounds of force occasionally and/or a negligible amount of force constantly to move objects. Sedentary work. Keyboarding, talking, hearing, repetitive motions. Close visual acuity. Not substantially exposed to adverse environmental conditions.


Essential Functions:
Registrars Office Technology Leader
  • Serve as a technical expert for student information system applications and related technologies.
  • Lead implementation of new functionalities and systems in the office.
  • Resolve concerns/troubleshoot technology issues for applications used by students/faculty/staff.
  • Collaborate with third-party vendors and IT staff to test, plan, and implement new technologies to enhance business processes.
  • Train Registrar Office staff on newly implemented technologies/modules.
System Coordination
  • Ensure effective functioning of Colleague Student Information System and related modules.
  • Understand tables and rules behind forms and ensure alignment of systems to academic rules and processes.
  • Test all new patches and upgrades released by Colleague, Self-Service, and other systems.
  • Implement and interpret academic policies within the student information system.
  • Troubleshoot system problems, conducting appropriate research and coordinating solutions with the Office of Information Technology.
  • Oversee ongoing maintenance of system tables.
Registration and Grading
  • Oversee set-up and execution of all registrations each term, such as creating new terms, rolling over courses, and maintaining the continuing education site/instant enrollment,
  • Partner with the staff members in charge of scheduling to coordinate and resolve course schedule and registration-related issues, such as maintaining holds on student accounts, performing data checks to determine anomalies in student registrations, and maintaining agreements for new students.
  • Maintain term and section set-up in Colleague.
  • Produce end-of-semester prerequisite mismatch and unsatisfactory grade reports.
  • Activate the Grade Reporting Web Portal (GRWP grading system).
Reporting
  • Prepare, create, and deliver regularly scheduled and ad hoc reports to support the Provosts Office, academic leadership, and the university community.
  • Perform an inventory of regularly scheduled reports and review with leadership.
  • Maintain a current calendar and tracking for regular reporting responsibilities.
  • Maintain a central repository for all regularly scheduled and ad hoc reports.
  • Liaise with the Office of Institutional Research & Assessment (OIRA) on data submissions pertaining to records and registration. This includes but is not limited to working closely with OIRA and other stakeholders who are seeking data to produce accurate reports to be used by the university community.
  • Develop and perform audits to verify the accuracy of institutional reports and integrity of the data.
  • Analyze the need for queries and reports, then build the reports using Entrinsik Informer.
General
  • Attend and participate in all Faculty/Staff University and Registrars Office meetings and relevant other meetings as requested.
  • Support commencement exercises, convocation, and other university events as requested.
  • Serve as backup in performing other registrars office functions, as needed.
