Job Description
The Assistant or Associate Director position assists in the management of Tickle College of Engineering (TCE) undergraduate advising team, an academic unit that supports TCE undergraduate students by focusing on undergraduate student advising, academic success, retention, and progression towards graduation. The level of the role of Assistant or Associate Director will work to develop, implement, and maintain academic planning programs for TCE undergraduate students. The Assistant/Associate Director directly supervises Advisors on the advising team and is responsible for TCE new advisor training in conjunction with campus new advisor onboarding. This position is responsible for disseminating information about admission requirements for current and prospective TCE students, evaluating admission eligibility, and ongoing analysis of student status within the college. The Assistant/Associate Director helps the Director to analyze student data and provide statistical trends regarding retention and graduation of UG students, which helps guide data-driven decisions. Working with the Director, the Assistant/Associate Director helps to create, coordinate, and oversee retention efforts in conjunction with the college offices. The Assistant/Associate Director serves as a resource for faculty and staff in understanding / interpreting university policies and curricula (DARS) and the related impact on the student population.


Responsibilities
Supervision & Administration
  • Directly supervise the Academic Advisors-setting goals, monitoring performance, and conducting annual reviews.
  • Provide day-to-day leadership for the advising unit and serve as acting lead in the Director's absence.
  • Oversee recruitment: sit on advisor hiring committees, lead searches when requested, and co-hire student staff.
  • Coordinate ongoing training, professional-development events, and regular staff meetings to foster continuous improvement.
  • Interpret and communicate university/college academic policies to advisors, students, faculty, and staff.
  • Develop and update advising resources each year (website content, degree audits, transfer pathways, etc.).
  • Create assessment tools with the Director, analyze advising data, and drive evidence-based program enhancements.
  • Support planning and management of the advising departmental budget.
  • Champion effective use of CRM and student-facing technologies, training staff and managing system updates.

Advising
  • Provide comprehensive academic advising for undergraduate engineering students, including end-of-term reviews, probation counseling, four-year plans (co-op, ROTC), pre-health, and honors pathways.
  • Lead or support orientation programs for first-year, transfer, and international students.
  • Advise campus-wide transfer students and help develop individualized study-abroad plans.
  • Guide students through the Volunteer Experience model-self exploration, career exploration, and experiential learning.
  • Respond promptly to detailed advising inquiries via appointments, email, and phone.

Administrative
  • Serve on college and university committees, search teams, and special projects as assigned.
  • Represent the advising unit in professional organizations (e.g., TennACADA, NACADA) to stay current on best practices and expand institutional networks.

Qualifications
Assistant Director level

Required Qualifications
  • Education: Master's degree in any field
  • Experience: Minimum 4 years of experience in student services or academic advising with proven managerial and supervision experience.
  • Knowledge, Skills, Abilities:
    • Excellent oral and written communication skills.
    • Proficient user of technology (Office Suite, Google Drive, etc.)
    • Ability to communicate effectively with diverse groups.
    • Must exhibit passion for helping students plan their academic careers.
    • Ability to supervise staff
    • Sound judgment
    • Ability to multitask
    • Demonstrated commitment to student success, access, and inclusion

Preferred Qualifications
  • Education: Master's degree preferred in college student personnel, higher education leadership, or counseling.
  • Experience:
  • Knowledge, Skills, Abilities:
    • Knowledge of federal and university policies and procedures (FERPA, Title IX, etc.)
    • Knowledge of student information systems (Banner, DARS, Canvas, Navigate, etc.)
    • Knowledge of advising theories and best practices (NACADA core competencies and values)

Associate Director Level
  • Education: Master's degree in any field
  • Experience: Minimum 6 years of experience in student services or academic advising with proven managerial and supervision experience.
  • Knowledge, Skills, Abilities:
    • Excellent oral and written communication skills.
    • Proficient user of technology (Office Suite, Google Drive, etc.)
    • Ability to communicate effectively with diverse groups.
    • Must exhibit passion for helping students plan their academic careers.
    • Ability to supervise staff

    • Ability to multitask
