Job Description
This position serves as the shared services liaison for Treasury, the Investments Office, Risk Management, Accounts Payable, UTSA Procurement, and the Controller's Office for various Financial Administration functions including invoice entry, procurement card reconciliation, expense report creation, travel assistance, etc. This position will also provide additional assistance to Accounts Payable and Accounts Receivable with responsibilities including, but not limited to, providing end-user support for AP, wire clearing, and ACH reversal entries. This position will report to the Assistant Director in Accounts Payable.


Responsibilities
Specific duties and responsibilities include, but are not limited to, the following:

Invoice Entry
  • Position will receive invoices approved by department heads to be entered in to the ERP system.
  • Responsibilities include verifying correct approvals are in place, entering information into the ERP system with accuracy and in a timely manner, and providing any other needed assistance, such as ensuring proper documentation is sent with the payment.
  • Wire Clearing - Entering documents to account for wire payments and processing fees.
  • ACH Return Payments - Entering documents to process payment to vendors when the ACH has been returned.
  • Responsible for maintaining up-to-date knowledge of the University's ERP system in order to provide end-user support as needed.

Accounts Receivable Assistance
  • Depositing Payments as needed.
  • Recording entries for erroneous reimbursements.

Procurement Card Reconciliation
  • Responsible for reconciling procurement card charges as needed for Financial Administration staff.
  • Responsible for obtaining documentation for charges and providing guidance for any questions on the reconciliation process.

Expense Reporting and Travel Assistance
  • Position will serve as delegate for those on the floor who require assistance with travel arrangements and creating expense reports.
  • Assisting with the creation of Contingent Worker Delegate setups.
  • Researching returned checks for expense reports.

General Accounts Payable Duties
  • Maintaining and responding to emails sent to AP email inbox.
  • Website Maintenance for AP, AR, and Expense

Qualifications
High school diploma and four years of office work with at least one year of experience in Accounts Payable.

Additional skills, experiences, and qualifications include:
  • Ability to work on multiple tasks. Excellent customer service skills. Skills in word processing, math, proofreading, and telephone etiquette required.
  • Ability to interpret, apply, and communicate University policies and procedures.
  • Ability to perform multiple tasks, with frequent interruptions.
  • Must have ability to prioritize assignments to complete work timely with workload changes and pressures to meet deadlines.

Preferred Qualifications

Additional skills, experiences, and qualifications include:
  • Experience in SAP and/or Oracle preferred.
  • Experience in SharePoint preferred for website maintenance.

Benefits and Compensation

Compensation for the position is budgeted for $24.00/hour to $26.00/hour
